What is IVR?
In this blog post, we will answer the question “What is IVR?” Let’s start with what the term means. IVR is short for Interactive Voice Response. This system helps you organize your call traffic. It is a simple and convenient system that uses technology to manage phone traffic much more accurately and transfer callers to the right staff member. Basically, it is a telephone menu system that uses the dial pad to identify, segment, and route callers to the most appropriate agent on your team.

How does an IVR system work?
There are two ways you can set up your IVR system:
- When customers call you, they first hear your IVR system’s voice greeting them. The IVR system then asks the customer to press a number that directs them to an appropriate representative.
- When customers press a key to reach an agent, you can divide the options by topic or by department. For example, if a customer wants to speak with a sales representative, you need to design your IVR system to route the call to the relevant representatives.
What are the 6 benefits of IVR?
Here are the 6 benefits of IVR:
- Improve first contact quality: When customers call, it is important to transfer them quickly to the representative who is best able to solve their problem, so that the representative who receives the call can help them right away.
- Improve customer experience: An IVR system connects callers with the right agent who can solve their specific problems.
- Increase representative performance: Representatives become more skilled in specific types of problems and make the right decisions for customers’ issues.
- Reduce phone operation costs: You will not need a receptionist or another person to answer calls and direct them to the relevant person. A single IVR system can significantly reduce costs.
- More quality and professionalism: An IVR system shows your customers that your company is professional and corporate, and it can make you look like you have more employees and departments than you actually do.
- Happier customers: With a proper IVR, your customers will not be directed to the wrong department or representative and left with their problems unsolved.
Which sectors prefer IVR?
Almost all corporate companies prefer an IVR system because it gives them a professional appearance. What kinds of companies are they? Here is a list:
- Retail and E-Commerce Companies
- Financial Services and Insurance Companies
- Healthcare and Life Sciences Companies
- Travel and Hospitality Companies
- Export and Import Companies
- Software and Web Design Companies
What kind of IVR scenarios are there?
Here are some sample scenarios:
- Scenario 1: An e-commerce company. A customer wants to know where their order is and when it will arrive. They call you, and your IVR greets them. The customer can enter the tracking number and easily hear the information they need automatically.
- Scenario 2: A bank. A customer calls to get information about interest rates for term deposits. The customer listens to the IVR menu, dials the relevant menu number, and is connected to the relevant representative.
- Scenario 3: A travel agency. A customer wants to book a flight. The customer is greeted by the IVR, listens to the menu, dials the number for the booking section, selects the flight, and pays for it. It’s a simple and easy way to do it.
